Attendance
Open event sheets, mark or correct attendance, print cycle sheets, filter the ledger, use quick-add, review member history, and export CSV.
Open an event attendance sheet
- Open Events from the admin sidebar.
- Choose an event name to open event detail.
- Select the Attendance tab.
- Review the roster sheet for that event. Use search, Section, and Filters (Signup response and Membership status) to narrow it, the same way as the cycle grid.
Members are listed by last name within each section.
You can also open an event column from Attendance → Cycle grid, or follow an event link from a member's Attendance tab.
Cycle grid is the attendance workspace: pick a Season, step through concerts with Previous concert / Next concert, and keep All sections by default. Rostered Conductors appear in a Conductors group; sectionless event-only members appear under Unassigned. Use search and Filters to narrow the grid. Each section ends with Add player for someone the current view hides.

Open the Attendance tab on an event to mark or review attendance.
Print cycle attendance sheets
- Open Attendance and choose Cycle grid.
- Pick a Season, then step to the concert with Previous concert / Next concert.
- Open the header actions menu (⋯) and choose Print attendance sheets to open the printable PDF in a new tab.
The PDF covers the selected cycle and lists rostered musicians by section in a fixed two-column grid. Each string section includes three blank rows for additions; each wind, brass, percussion, or other section includes one. For the same action from a cycle’s Players tab, see Rosters.
Mark or correct attendance records
- On an event attendance sheet, set Present, Late, or Absent for each rostered member. Event-only rows show Not on roster; signup exceptions show No response, Not sure, or Not playing independently.
- Open Other attendance options to Clear mark or add a note.
- On Attendance → Cycle grid, select a cell, choose Present, Late, or Absent, add a note, or Clear mark. Changes save automatically.
An amber dot on a Present or Late cell means that person isn't on the cycle's roster. On the event sheet, the dot sits beside the mark. Select the cell (or the dot on the sheet) and choose Add to roster if they're playing the whole concert cycle. If they sat in for that rehearsal only, choose the rehearsal option under it; the dot turns gray and the roster stays as it is. Adding someone whose signup says they're not playing changes their signup to Signed up, so they owe dues for the cycle.
Progress counts rostered members only, for example 12/12 roster players marked · 1 event-only player. Clearing an event-only mark removes that person from the event. If they have no other marks in the cycle, they leave the cycle grid too.
Member-reported Absent or Late marks from Absences appear on the sheet and in Records when you filter by Upcoming.
Filter the attendance ledger
- Open Attendance and choose Records.
- Set Season, Concert cycle, and Section filters as needed.
- Enter a member name in the search field to find their marks.
- Choose When — All, Past, or Upcoming — to narrow rows by event date. Upcoming sorts soonest events first.
- Choose a Status filter such as Absent or Late.
- Choose Source — All sources, Member, or Staff. Member means the member last edited an Absent or Late mark for themselves (for example from Absences). Staff means an admin last edited the mark, or the mark is Present.
- Choose Clear filters to reset on desktop. On a narrow screen, open Filters and Table Options and choose a filter to see its choices. Sort and Columns are in the same menu. Choose Reset filters there to clear filters.

Filter the Records tab to find attendance entries.
Use quick-add and follow-up email
On Attendance → Cycle grid:
- At the bottom of the section, choose Add player. The list shows Active and Substitute members the current view hides.
- Select a name to add an unmarked row, then mark the cells they attended. If they aren't on the cycle roster, the amber dot asks whether to add them to the roster or record that they sat in.
- To add someone new, type their name and choose Create {name}. They join that section as a Substitute.
An added row you leave unmarked disappears when you reload the page. To find an Inactive member, search for them by name.
On an event attendance sheet:
- Scroll to Quick add.
- Search for an existing member in the member bank and select their name to mark them Present for this event only.
- When no match appears, choose Create {name} in that section's Quick add. The new substitute is marked Present for this event only.
- In either place, if prompted, enter an Email in Add contact email and choose Save email, or Skip for now to finish the mark.
- Later, open Players → Needs follow-up to add email for members who still show Email needed.
Quick add records attendance for this event without placing the musician on the concert-cycle roster. Creating a new name still adds them as a Substitute in the member bank. Add Conductors and cycle roster placements from Rosters.

Use Quick add to mark someone for this event without adding them to the cycle roster.
Review individual attendance history
- Open Players and choose a member.
- On the member profile, choose the Attendance tab.
- Review Marked, Present, Late, and Absent counts for the season.
- Read absence rows in the preview table, then choose Open attendance or View all {n} absence records to open Attendance → Records filtered to that member.
The Attendance tab on the member profile is the same ledger as the event sheets and Records tab. For the shared profile tab workflow, see Players.
Export attendance CSV
- Open Attendance and choose Records.
- Apply Season, Concert cycle, Section, When, Status, Source, and name filters you want in the export.
- Open the header actions menu (⋯) and choose Export CSV.
