Enter attendance

Use the attendance workspace or an event sheet to mark attendance, add missing members, and confirm saves on Enter attendance.

Find an event that needs section attendance

  1. Open Enter attendance from Home or Menu → Extras.
  2. Move between concert cycles with Previous concert and Next concert. The concert date shows under the cycle name.
  3. Keep All sections selected to see the whole orchestra, or choose one section to narrow the member rows.
  4. Use the Section control to focus the grid. Search members looks across every section and membership status, so you can find anyone who can be marked.
  5. Find the event date across the top. The next event is shaded. Mark a member in the grid, or open the linked date for the full event sheet and Quick add. An unmarked cell offers marks immediately; choose Add note before selecting a mark if needed. A marked cell first shows its status and note. Choose Edit mark to change it, then Save changes. On a phone or tablet, the same panel opens at the bottom of the screen, and the cell stays highlighted above it.

Send or review email follow-up when prompted

  1. After Quick add marks someone Present who has no email on file, review the Add contact email dialog.
  2. Enter an Email and choose Save email so they can be invited to the member portal.
  3. Choose Skip for now to finish attendance — the member stays on the sheet with an Email needed badge.
  4. Personnel managers can add email later from admin — you do not need to block on email to save attendance.

Reconcile with member-reported absences

  1. On the event sheet, look for members already marked Absent or Late from Absences self-reports.
  2. Open Other attendance options on their row to read an optional note.
  3. Update the mark if the report changed — for example Present when someone arrived after reporting late.
  4. Staff-recorded Present marks stay read-only on Absences — change them from the event sheet if needed.

Confirm attendance is saved

  1. Choose a mark in the grid or on an event sheet.
  2. Watch the top of the screen. A saving status shows while your marks save.
  3. When the status changes to saved and goes away, your marks are stored.
