Players
Search the member bank, export CSV, create and edit records, review detail tabs, clear the needs-follow-up queue, and assign section leaders.
Search and filter the player list
- Enter a name in the search field.
- Filter by Section, Designation, or Additional designation.
- Searches include archived records automatically. With no search term, turn on Show archived for retired records.
- While searching, choose Showing archived to hide archived records for that search.
- Choose Reset to clear filters.

Search and filter by Section or Designation.
Export the player list to CSV
- Apply the filters you need.
- Open the header actions menu (⋯).
- Choose Export CSV.
Update additional roles for multiple members
- Select the members shown in the list.
- Choose Edit properties.
- Under Additional designations, choose Section leader, Personnel manager, Librarian, or Board. A mixed role adds it to everyone first; choose it again to remove it from everyone.
- Choose Apply.
Create a new player
- Open the header actions menu and choose Add player.
- Enter First name, Last name, and Email.
- Set Designation, Primary section, and Additional designations.
- Choose Create.
Edit contact, profile, and Other info
- Open a member from Players.
- Edit contact — Name, Email, Phone.
- Edit profile — Designation, sections, dues exemption, roles, Admin notes.
- Edit other info — custom fields, including the admin-only Board email address used for a Board member’s Directory contact row (and their personnel-manager or librarian row when they hold both roles), and the admin-only Board role title shown after their name in the Directory Board group.
- Choose Save on each form.
Grant Admin access to a member
- Open the member from Players and choose Edit profile.
- Enable Can access Admin.
- Let the member know that they can use Admin, then choose Save.
Permanently delete an unused import
Only a Super admin can permanently delete a Player, and only when the record has no roster, signup, attendance, dues, payment, email-group, custom-field, or other operational history.
- Open the Player and choose Delete permanently from the header actions menu.
- Copy or type the displayed full name into the confirmation field.
- Choose Delete permanently.
Opal removes the Player immediately and tracks removal of any Clerk account in System tools → Outbox. Archive records with history instead.
Review player detail tabs (attendance, concert signups, dues, email groups)
Open a member and choose Attendance, Concert signups, Dues, or Email groups for that member's history. On Concert signups and Dues, choose a Season when you need a season other than the default. Concert signup edits use the same confirmation as the cycle table — completed payments stay paid. See Concert signups, Admin attendance, and Admin dues for cycle-wide workflows.

Open Attendance, Concert signups, Dues, or Email groups from the profile tabs.
Work the Needs follow-up queue
- Open the Needs follow-up tab.
- Enter an Email address and choose Save, or open the member to add email on the profile.

Review members who still need follow-up on the Needs follow-up tab.
Assign or review section leaders
- Open Section leaders to review who holds the role.
- To assign, open a member → Edit profile, enable Section leader, and choose Save.
Interpret designations and know when to escalate
Roles control member visibility and staff permissions.
| Group | Examples | Effect |
|---|---|---|
| Player designation | Core Player, Substitute, Prospect, Conductor, Inactive | Membership class on Admin home |
| Additional roles | Section leader, Personnel manager, Librarian, Board, Super admin | Orchestra responsibilities beyond base membership |
Inactive members are omitted from the directory and rosters; Conductor is not placed on rosters.
Common questions
How do I export section leaders?
Choose Export CSV from the section leaders header menu.
Why can someone attend rehearsals but not open Admin?
Section leader covers Enter attendance only. Admin routes require Admin access enabled on the member's Player record.
