Absences

How do I report that I'll be late or absent for a rehearsal?

Open Absences, find the event, select the next to the event, and choose I'll be late or I'll be absent. Add a note when helpful.

Why don't I see any events on Absences?

Absences lists only upcoming events on or after today where you appear on the roster. Past events do not appear. If you expect to see a rehearsal or concert here, contact your personnel manager.

Account

How do I hide my email from the member directory?

Turn off Show my email in the member directory on Edit contact. See Control directory email visibility.

What are email groups on my account?

Email groups lists each orchestra mailing list you belong to. Ask your personnel manager if a list looks wrong.

What does Core Player mean on my account?

See Understand your membership status.

What is a designation? Am I in trouble if it says something else?

Membership shows your status, not a disciplinary mark. Ask your personnel manager if you are unsure.

Why can't I change my section or instrument in the app?

Your personnel manager maintains section and instrument. Ask them for roster or section changes.

Attendance

How do I enter attendance for my section?

Open Enter attendance, choose the highlighted next action or another event from the agenda, and mark each member in your section. See Mark attendance for your section.

How do I know when attendance is finished and saved?

When every member in your section has a mark and the footer shows All changes saved, you are done. If you change a mark, wait until saving finishes before closing the page.

Calendar

Can I report an absence from Calendar?

Yes. When you are signed in and rostered for an upcoming event, select the next to the event on that Calendar row and choose I'll be late, I'll be absent, or Something else. See Report late or absent from Calendar.

How do I add the orchestra calendar to my iPhone or Google Calendar?

Open Calendar, choose Copy URL in Subscribe in your calendar app, and add the subscription URL in Google Calendar, Apple Calendar, or Outlook. See Subscribe to the orchestra calendar externally.

Why do I only see some concerts on Calendar?

Calendar shows the concerts and rehearsals for cycles where you appear on the roster. If you expect to see more of the season, contact your personnel manager.

Concert signups

Did my concert signup save?

After Save signup, the list shows your response on that cycle. Open the cycle again to review it, or choose Change signup to update it.

Does signing up change my dues?

Signing up for a concert means you owe dues for that concert. See Dues.

Does signing up put me on the roster?

Yes. Signing up adds you to that concert's roster when you are eligible and not already listed. Personnel may adjust the roster later. Declining does not remove an existing placement.

How do I tell the orchestra I want to play in concert cycles this season?

Open Concert signups, choose a concert cycle, select Sign up, and choose Save signup. See Respond to a concert cycle.

What does Not sure mean on the signup form?

Not sure tells your personnel manager you are uncertain. Use it when you might want to participate but are not ready to choose Sign up or Decline.

What's the difference between Concert signups and Absences?

Concert signups capture whether you want to participate in a concert cycle this season — signing up adds you to the roster when you are eligible. Absences is for a specific rehearsal or concert you already know you will miss or arrive late to. See Absences.

Why can I view a concert signup but not change it?

Your personnel manager may have closed member signups for that cycle, or the concert date may have passed. Your saved response and note remain visible. An admin can still correct a response.

Directory

How do I hide my email from the member directory?

Open Account, choose Edit contact, and turn off Show my email in the member directory. See Hide your email or year joined from the directory.

How do I hide my year joined from the directory?

Open Account, choose Edit contact, and turn off Show my year joined in the member directory. See Hide your email or year joined from the directory.

Who do I contact if I don't know who to ask?

Open DirectoryStaff ContactsGeneral Help and email the Members Help Line ({{helpContactEmail}}).

Who is my personnel manager, and how do I contact them?

Open DirectoryStaff Contacts and look for Personnel manager. Select a member's email address to send them an email.

Dues

How do I know my payment went through?

After checkout, open Payment history or return to Season dues. Completed payments appear as receipt rows with the amount and date.

How do I pay dues for just one concert instead of the whole season?

Open Dues on Season dues, go to Pay per cycle, and choose the Pay or Pay anyway control for that concert.

When are dues required for a concert?

Signing up for a concert means you owe dues for that concert. If you decline or have not signed up yet, dues are not required — you can still choose Pay anyway.

Players

How do I export section leaders?

Choose Export CSV from the section leaders header menu.

Why can someone attend rehearsals but not open Admin?

Section leader covers Enter attendance only. Admin routes require Admin access enabled on the member's Player record.

Rosters

What is a concert cycle?

A concert cycle is one program in the season — for example Fall Opener or Holiday Pops. Each cycle owns its roster, events, Concert signups, attendance, and dues. Members answer Concert signups before you finalize the roster; see Admin concert signups.

Send Feedback

Where do I get help inside the app?

On any member page, open Help and feedback for this page and choose Help with this page, Send feedback, or Email {{helpContactEmail}}. You can also open MenuAbout for Help and Send feedback. In admin, use the sidebar About section.

Sheet music

Does sheet music depend on my roster or concert signup?

No. Sheet music lists every non-archived concert cycle in the current season for all signed-in members. Your roster and Concert signups responses do not change the list.

Why is a concert cycle's sheet music unavailable?

Unavailable means the personnel manager has not published a Google Drive folder for that cycle yet. The cycle remains visible so you can check again later.

Why is sheet music unavailable when there is no current season?

The page follows the current season selected by Opal. If no current season is configured, it cannot list concert cycles yet. Check back after the season is published.
