Concert signups

Configure member guidance, open or close signups, review responses on Players, and manage roster placement.

Edit member signup guidance

  1. Open Concert signups from the admin sidebar.
  2. Open the header actions and choose Edit settings.
  3. Update Member guidance, then choose Save.

Leave the guidance blank to hide it. Members who choose Not playing no longer see it.

Open or close member signups

  1. Open a cycle from Concert signups, then open Players.
  2. Open Open cycle tools and choose Close signups or Open signups.
  3. Confirm the change in the dialog.

The badge above the list shows Signups open or Signups closed. Responses stay visible while editing is closed. The concert date locks member editing and removes the reopen action.

Review signup progress by cycle

  1. Open Concert signups.
  2. Choose a Season when needed.
  3. Review Signed up, Not playing, Not sure, and No response totals, then open a cycle name.

Review signup totals across cycles before opening Players.

Review individual player responses

  1. On Players, choose a response view such as Signed up, No response, or Not sure.
  2. Use Search players, Section, Designation, or Auto-pay to narrow the list.
  3. Expand Section counts to compare signup responses, roster placements, and seat caps by section.

Views keep the current filters. Choose Reset to clear filters. On a narrow screen, open Filters and Table Options for filters and sorting. The list columns are Player, Response, Roster, and Dues.

Cycle Players list with response, roster, and dues columns

Players brings responses, roster placement, and dues into one list.

Edit a concert signup response on the cycle table

  1. Find the player on Players.
  2. Open the Response cell menu, or choose Set response from row actions.
  3. Choose Signed up, Not playing, Not sure, or Clear response.

A genuine change to Signed up places an Active player if a seat is available, or adds them to the waitlist when their section is full. Not playing or Not sure removes a musician placement and can promote the next waitlisted player. Clearing a response leaves placement alone. Completed payments stay paid.

To change several responses, select player checkboxes and choose Edit selected. Review eligibility and skipped counts before applying. Choose Copy emails to contact selected players instead.

Edit a concert signup from player detail

  1. Open Players and choose a player.
  2. Choose Concert cycles, then a Season when needed.
  3. Open the Response cell on a cycle row and choose a response.
  4. Confirm if the dialog explains a dues requirement change.

The row shows roster placement, dues, and absences beside the response. Completed payments stay paid.

Add a Substitute to the roster

  1. Open the cycle Players tab and find the Substitute. If they are missing, open Open cycle tools and choose Add player to find them in the member bank.
  2. Review their availability in Response.
  3. Open row actions and choose Add to roster.

Availability stays as the Substitute answered. Choose Remove from roster and confirm to remove their placement.

Use responses for roster placement

  1. On Players, use No response and Not sure to find Active players who need follow-up.
  2. Choose On roster to review placements independently of responses.
  3. Use row actions to add or remove a placement.

Signed up already attempts placement when the response changes. Direct roster edits leave the response and dues unchanged. See Rosters for Cycle tools, exports, and attendance sheets.
